Import your contacts

Last updated July 12, 2026

Your audience lives in Contacts. Contacts are unlimited on every plan, including Free, so you never pay to store your list.

Import from Microsoft 365

Because SimpleNewsletter365 runs inside your Microsoft 365 account, you can bring contacts straight from the tools you already keep them in, without exporting a file first. Each source uses a delegated Microsoft permission that is requested only when you use it.

  • Outlook contacts. Import the contacts saved in your own Outlook.
  • Microsoft Bookings customers. Import the customer list behind your Bookings page, a clean source for a recurring newsletter.
  • OneDrive files. Pick a contact spreadsheet from OneDrive instead of uploading it from your device. You can also pick newsletter images from OneDrive while composing.
  • Microsoft 365 groups and distribution lists. Reach a group or distribution list as an audience, kept in sync as a living segment. Sending to a group audience is available on Growth and up.

Import a file

  1. Open Contacts and choose to import.
  2. Upload a CSV or Excel file, or pick one from OneDrive, and map its columns to contact fields (email, name, organization, and any custom fields you have defined).
  3. Review the import summary. Imported contacts are recorded in subscriber history as an audit trail.

Only import contacts you have a lawful basis to email. See the Acceptable Use Policy.

Custom fields

Define custom fields in settings to store the data you personalize on, such as plan, city, or signup source. Custom fields are available as personalization tags in the editor.

Segments

Group contacts into segments to target specific audiences. A newsletter is sent to the segment or contacts you choose at send time.

Keeping your list clean

Unsubscribes and bounces are tracked automatically, and unsubscribe state is honored on every send. Keeping your list engaged protects your own domain reputation.
